POSITION: Skills development administrative officer
 
LOCATION: KIGALI, RWANDA
 
JOB DESCRIPTION: 
In this role, you will be responsible for various tasks related to office and general administration, project administration and supporting upper management. Your attention to detail, excellent communication skills, and ability to multitask will be crucial for your success in this position.
DUTIES AND RESPONSIBILITIES:

 

  •  Assist with the development of M&E frameworks for skill enhancement.
  •  Gather and organize data on Rwanda Bioeconomy Hub activities, student progress, skill development participants, and lab usage.
  • Evaluate M&E reports and suggest areas for improvement.
  •  Aid the Skills Development Manager and Coordinator in preparing monthly, quarterly, and annual reports for stakeholders.
  •  Assist with grant reporting and related documentation
  • Ensure adherence to data integrity, privacy, and compliance with applicable standards and regulations.
  •  Engage in regular training and professional development opportunities.
  • Perform administrative tasks as needed to ensure successful project execution.
  •  Coordinate travel and meeting logistics for UVU Bio staff.
  • Participate in project meetings as required.
  • Handle minute-taking, document management, and control.
  • Oversee the Skills Development Manager’s schedule and provide administrative support.
  • Maintain accurate and current records in all contact databases, ensuring information is documented and verified.
  • Offer effective support and communication to team members to facilitate operational efficiency and collaboration.
  • Help direct contracts and other project documents to the appropriate UVU Bio personnel.
  • YOU WILL BE AN IDEAL CANDIDATE IF YOU POSSESS THE FOLLOWING PROFFESSIONAL QUALIFICATIONS, SKILLS AND EXPERIENCE:

 

  • A certificate or diploma in office administration is beneficial but not mandatory.
  • 2-5 years of experience in a similar or related role.
  • Proficient in administrative skills, with expertise in the MS Office suite.
  • Capable of working autonomously.
  • Skilled in collecting and managing data for report generation.
  • Adept at reviewing documents and maintaining records.
  • Experienced in planning events, interviews, and meetings.
  • Outstanding organizational and coordination skills.
  • Excellent written and verbal communication abilities.
  • Robust interpersonal skills.
