iDebate Rwanda is a dynamic and rapidly growing organization dedicated to fostering critical thinking and leadership skills through debate and dialogue. We are looking for a highly organized, adaptable, and efficient Executive Secretary to support our operations and mission.

Job Summary

The Executive Secretary will play a pivotal role in ensuring the smooth running of iDebate Rwanda’s office. This position requires a professional who excels at multitasking, relationship building, and problem-solving. You will assist in scheduling, research, and supporting fundraising and partnership efforts while maintaining the highest standards of professionalism.

Key Responsibilities

Administrative Support

  • Manage the executive’s calendar, scheduling meetings, and appointments.
  • Handle correspondence, including drafting and editing documents and emails.
  • Maintain organized records and files for the office.

Research and Writing

  • Conduct in-depth research on funding opportunities, potential partners, and donors.
  • Prepare comprehensive reports, articles, and supporting documents for proposals.
  • Edit and proofread organizational content as needed.

Fundraising and Partnerships

  • Assist in identifying and building relationships with potential funders and partners.
  • Support the preparation of grant applications and funding proposals.
  • Keep track of deadlines and ensure timely submissions of required documents.

Office Management

  • Oversee day-to-day office operations to ensure efficiency.
  • Coordinate logistics for events, meetings, and travel arrangements.
  • Address operational challenges with creative and effective solutions.

Relationship Building

  • Represent iDebate Rwanda in a professional manner in all interactions.
  • Foster positive relationships with stakeholders, funders, and team members.

Qualifications

  • Bachelor’s degree in business administration, communication, or a related field.
  • Proven experience in a similar role, preferably in the nonprofit sector.
  • Exceptional organizational and multitasking abilities.
  • Strong research and writing skills; experience in proposal writing is an advantage.
  • Proficiency in Microsoft Office and Google Workspace.
  • Professional communication skills, both verbal and written.
  • Ability to work under pressure and manage multiple deadlines.
